Easily Edit Content and Control Versions
Now that all of your content is ready to be shared, you can simplify and streamline collaboration using SpringCM's editing tools. These steps will walk you through everything you need to know about editing documents with ease:
- Step 1: Find Content
- Step 2: Check Out a Document
- Step 3: Download a Document
- Step 4: Modify a Document
- Step 5: Check In a Document
- Step 6: View Document History
Before you can edit a document, you have to search or browse to begin.
Step 1: Find Content
We offer search so you can find content like you're using Google, or browsing so you can locate a document in folders structured just like ones on your PC or Mac.

- Type your query in the Search Documents field located in the upper right of your SpringCM screen.
- Click the Magnifying Glass to start your search.

3. Click the link for the appropriate document.

- Click the Documents tab.
- Click the appropriate Folder in the left-hand navigation. If the folder you want to access is a subfolder, click the parent folder to browse to the correct subfolder.
- Click the link for the appropriate document.

Once you've located your document, you can start the editing process.
Step 2: Check Out a Document
To ensure your colleagues don't alter a document while you're editing it, check out the document. When a document is checked out, your colleagues can still access, download, and view it, but they cannot change or replace it.

- Click the Documents tab.
- Click the appropriate Folder in the left-hand navigation. If the folder you want to access is a subfolder, click the parent folder to browse to the correct subfolder.
- Click the link for the appropriate document.

- Click the Check Out button.

You can begin editing your document without worrying that anyone else will edit it.
Step 3: Download a Document
To view your document in its native format—for example, opening a spreadsheet in Microsoft Excel—you can download it to your computer.

- Click the Documents tab.
- Click the appropriate Folder in the left-hand navigation. If the folder you want to access is a subfolder, click the parent folder to browse to the correct subfolder.
- Click the link for the appropriate document.

- Click the Download button.

- Click Open or Save File depending upon your preference.
Now your document is available to edit without any interference from colleagues.
Step 4: Modify a Document
SpringCM can host files in any format. Once you download a file, you can open and edit the file in its original program. For example, you can open and edit a spreadsheet in Excel.

- Download the document.
- Open the document and save it to your computer.
- Make your edits. If you're editing a Word document, you can turn on Track Changes so other colleagues can see your edits with ease once they download the modified document.
- Save the edited document.
Step 5: Check In a Document
After you've edited a document and you would like to make it available to your colleagues, use SpringCM's Check In feature.

- Click the Documents tab.
- Click the appropriate Folder in the left-hand navigation. If the folder you want to access is a subfolder, click the parent folder to browse to the correct subfolder.
- Click the link for the appropriate document.

- Open the Edit menu and choose Check In.

- Click the Browse button.
- Select the appropriate file and click Open.
- Click the Save button.

>>If you use Internet Explorer, you can try the Edit feature to check out, modify, and check in a document in one single step.
Step 6: View Document History
You can check to see if colleagues have viewed or edited a document by accessing the history.
- Click the Documents tab.
- Click the appropriate Folder in the left-hand navigation. If the folder you want to access is a subfolder, click the parent folder to browse to the correct subfolder.
- Click the History link for the appropriate document.

- Browse the History for actions made on the document by yourself and your colleagues.
