Automate Business Processes Fast with Smart Rules

Smart Rules make it easy to automate not only a lot of the work to maintain your document repository, but also standard processes.  Smart Rules follow an easy to understand model of triggers, filters and actions, so in a few minutes you can define new rules.  Some examples of what Smart Rules can do for you include:

Notify the HR manager and the hiring manager when a resume for the new Controller job opening is submitted A resume is e-mailed or faxed directly into the folder for the Controller job opening An e-mail is sent to the HR manager and hiring managers
Automatically move collateral from the Marketing folder to the Legal folder for approval Marketing manager marks the collateral status as "Finalized" The document is moved from the Marketing to the Legal folder
When a faxed invoice is received, attach the invoice attributes to the scanned image Fax is received on a particular line and a scanned image is added as a document in the Invoice folder Assign attribute group "Invoice" with fields like "Invoice Amount," "Invoice Date" and "Vendor" to the document and notify the AP professional

Smart Rules are easy to set up with a simple 1-2-3 process, no technical expertise required!

  1. Define the Trigger. Triggers events include scenarios when a document is added or checked into a certain folder or subfolder, or an attribute like "Resume Status" is changed to "To be Interviewed".
  2. Define one or more Filters.  Filters include the names of files or folders, attribute values, even whether content was uploaded or sent directly in via email or fax
  3. Define the Action. Actions include moving a document to a specific folder, assigning an attribute group like "Resume Attributes", sending an e-mail to an individual or group, setting the value of an attribute like "Contract Status" to "Assign to Legal"or starting a workflow called "Invoice Approval"
