Enterprise content management and the documents involved in workflow automation must incorporate the information surrounding these documents. This information must be captured to ensure proper indexing, quick retrieval and, in some cases, compliance. Indexing and metadata capabilities take capture methods beyond just "getting your document into SpringCM." These indexing and metadata capabilities actually make documents useful and usable once they're in SpringCM.
Simple keywords alert viewers to documents' content or context without having to open documents. You can establish metadata groups to "chunk" your documents into appropriate categories. Metadata groups contain the fields you specify, enabling you to complete indexing.
For example, you could establish an Engineering Drawing metadata group with Customer Name, Drawing Number and Project Number fields to organize all of your CAD files and supporting documentation. Fields are available as text input or drop-down menus, ensuring efficient input of data. SpringCM's Advanced Search facilitates searches by any metadata field, making it much less complicated to find documents when you can only remember one piece of information.
Metadata categorizes documents in ways that are relevant to your process, department and entire business. Documents that use the same metadata fields can be "linked" together with Related Documents. For example, if a customer has more than one document in the Engineering Drawing metadata group, all related documents are visible with the click of a button. The task of browsing or searching for similar documents is completely eliminated.
