Workflow Program: Capture Paper Documents and E-mails

Reduce Paper with a Quick and Easy Workflow Program

SpringCM is dedicated to reducing and eliminating paper. We offer a number of ways to help you reduce paper easily and efficiently, including an easy-to-use workflow program. Once the documents or e-mails are captured, they are maintained in the secure SpringCM repository and available for any workflow activities.

E-mail- and Fax-Enabled Folders within the Workflow Program

SpringCM makes it easy to integrate e-mails and faxes into your document repository. Any folder in SpringCM can have either (or both) an e-mail address or fax number associated with it. Team members simply need to carbon copy the SpringCM inbound e-mail address to store all communications alongside project documents and scanned images. Project team members can see and search all content in tandem. Inbound faxes can be captured and shared with all people who need to see them, and faxed documents can be automatically inserted into a workflow based upon the fax number they were sent from. Faxed forms can even be "read" by Zone OCR or IDC to extract key metadata that can initiate workflows and other processes. With its workflow program, SpringCM makes it easy to integrate e-mails and faxes cin standardized, consistent ways to enable new levels of productivity for your organization.

Print to SpringCM as Part of the Workflow Program

Capturing documents into SpringCM can involve the same familiar steps as printing a document with our Print to SpringCM service. You can follow the normal steps to print documents, but when you choose a printer, just select the Print to SpringCM option. Documents will automatically upload to SpringCM when you "print" them. Documents can be renamed and attributes (based on the type of document) added as part of this process.

Scan to SpringCM

Scanning documents no longer needs to be a complex process. Scanners typically produce cryptically named files that are dumped onto your hard drive to be sorted through manually. Scan to SpringCM takes the intuitive concept of Print to SpringCM and applies it to your scanning needs. When you scan documents, Scan to SpringCM enables you to rename the documents, to add metadata and then to upload directly to the appropriate folder in SpringCM in seconds. This feature enables anyone with a SpringCM login to quickly contribute scanned content from most commercially available scanners.
